PDF text will not search or copy? Check the page before converting it

GlobePDF · October 17, 2026

A PDF can look perfectly readable while its words are unavailable to search or copy. A short page-by-page check helps you choose the next step and avoid trusting an incomplete text export.

In this guide

  • 1. Test a word you can actually see
  • 2. Choose a source file, text extraction, or OCR
  • 3. Use Extract text for text that is already in the PDF
  • 4. For image-only pages, use an OCR-capable application
  • 5. Recheck the final file, including its limits

1. Test a word you can actually see

Keep the original PDF and open a copy in your usual PDF viewer. Choose an ordinary word in the middle of a paragraph, rather than a logo or handwritten note. Use the viewer’s Find command to search for that word, then try selecting the sentence and pasting it into a plain-text editor.

Check the pasted result as well as the selection highlight. Readable words suggest usable text on that page. Missing words, scrambled characters, or a different reading order need further checking. One unsuccessful search is a clue, not proof that the whole document is a scan.

Repeat this on the first page, a page in the middle, and the last page, plus any page with a different appearance. A packet can contain a typed cover sheet followed by scanned attachments. A successful search on the cover does not establish that the attachments are searchable.

2. Choose a source file, text extraction, or OCR

If you have the original document, try exporting a fresh PDF from its authoring application and repeat the search-and-copy check. If someone else supplied the PDF, ask for a searchable original or an accessible copy when that is an option.

If the words already copy correctly and you need them outside the PDF, extract the existing text. If the page contains only an image of writing, optical character recognition (OCR) is the step that attempts to turn that image into characters. Putting a scan or screenshot inside a PDF does not by itself provide actual text.

If copying is explicitly restricted, or the document asks for a password, ask the owner for an authorized usable copy. Do not assume OCR is the right response to a permissions message. If one viewer gives unexpected results, also test another trusted viewer before changing the document. If characters select but still paste incorrectly in another viewer, request a fresh source export; a text export may reproduce the same errors.

3. Use Extract text for text that is already in the PDF

Open GlobePDF’s Extract text tool, select one PDF, and choose “Extract Text.” Download the resulting .txt file and open it in a text editor. The export groups extracted content under headings such as “--- Page 1 ---”. These numbers refer to positions in the PDF, not necessarily the page numbers printed on the document.

This tool reads existing PDF text; it does not perform OCR or create a searchable PDF. If no selectable text is found anywhere, it reports “No selectable text found.” An image-only page cannot be recovered simply by repeating the same extraction.

A mixed PDF needs more care. The current tool can successfully export the typed pages while leaving only a page heading for an image-only page. Compare every page section with the original before treating the download as complete. A text file with some content is not proof that every visible word was extracted.

Expect plain text rather than a layout-preserving copy. The extractor joins text items and normalizes whitespace; columns, tables, and line breaks may not read as they look on the page. Check the sequence against the PDF, especially where values depend on a row or column heading.

4. For image-only pages, use an OCR-capable application

GlobePDF’s current public tools do not provide scan-to-searchable-PDF OCR. Use an OCR-capable application if you need a searchable PDF, and check whether its output is a PDF with recognized text or only a separate text file. Choose an application and processing location appropriate for the document’s sensitivity.

Adobe’s Acrobat instructions describe selecting the pages and document language for text recognition, then reviewing the result. Follow the current instructions for the application you use. Save its output as a new file so the original scan remains available for comparison.

OCR can misread characters. Search for a known word on each recognized page, copy a sentence, and compare it with the visible scan. Pay particular attention to names, reference numbers, decimal points, and similar-looking characters such as O and 0. These are spot checks: when completeness matters, compare all recognized text with the original. Correct errors in the recognized text using the OCR application, or obtain a clearer source when the image is unreadable.

5. Recheck the final file, including its limits

Reopen the exact file you plan to share. Confirm its page count and readable appearance, then repeat the search-and-copy checks. If you compress or otherwise convert it afterward, test the new output again rather than relying on the earlier result.

Searchable text is not a complete accessibility check. W3C’s OCR technique also calls for reviewing the recognized text and reading order; document structure and tags require attention too. When accessibility is required, use the appropriate accessibility review rather than treating OCR success as certification.

Keep the original PDF, the checked searchable copy if you created one, and any text export clearly named. Send the format the recipient requested. A .txt export can help with notes or review, but it does not replace a requested PDF or preserve the page’s visual evidence.
